The site manager asks why operating cost rose this month. Finance asks which site absorbed the spare-parts invoice. Purchasing asks whether the critical part is in stock before the machine stops. When the answers sit in one system, the meeting stops being an exchange of files and becomes a decision. This is what the ToDoOps team offers Saudi mining and quarry companies through Odoo. You can read about how we implement Odoo for Saudi businesses to see the overall picture.

Odoo covers the administrative and operational side: purchasing, inventory, maintenance and cost by site. Geological planning, safety and permit procedures stay with the specialised teams, and management connects with them through the numbers.

Odoo for Mining and Quarries: Start with Site Cost

According to the General Authority for Statistics’ Mineral Resources Statistics 2024, the total recorded mining licences stood at 2,401 in the 2024 data, covering several licence types. Because activity ranges from exploration to quarrying and mining, the equipment and purchasing cycle that the system should manage differs from one business to another.

Maintenance in Odoo: Preventive and Corrective Requests for Each Machine

According to the Odoo 19 documentation, the Maintenance app records preventive and corrective requests against an equipment item or a work center, with a team, a person responsible, a scheduled date, a duration, a priority and stages. A request can be linked to manufacturing orders and work orders where that applies.

Maintenance also offers a “block the work center” option, which prevents new work from being scheduled on it while it is being handled. This is a work-center scheduling setting in the system. Physically stopping the machine and following safety procedures remain the responsibility of the specialised team. The practical benefit is that the maintenance team sees what was opened, what is late and what was closed, and knows who is responsible for each machine.

Spare Parts and Purchasing: Plan Before the Stoppage

When a part is recorded in inventory with its name, unit and the equipment that uses it, purchasing can plan critical items from actual receipts and issues. The purchase request is then tied to the site and the document. Purchasing reviews the balance, the quantity required and the quantity received before issuing a new order, and the supervisor can follow the part they are waiting for to complete the maintenance.

Analytic Accounting in Odoo: What Did Each Site Cost?

The Odoo 19 documentation explains that analytic accounting provides accounts, plans and distribution of cost and revenue across customer and vendor invoices, and the field can be made mandatory if configured that way. In other words, the requirement and the distribution work according to the company’s setup. They are not automatic in every case.

A hypothetical example, for illustration only: monthly direct costs of SAR 120,000 were recorded against Site A and SAR 80,000 against Site B, a total of 200,000. There is also an agreed shared cost of SAR 30,000, which management allocates 60% and 40%, so A bears 18,000 and B bears 12,000. The final cost is 138,000 for Site A and 92,000 for Site B, a total of 230,000.

The allocation basis here is a management assumption the company agrees on, not something the software discovers. A vendor invoice and its purchase order should also not be added twice.

The practical result: the manager understands which site costs how much, finance traces each figure to its document, and purchasing plans critical parts more clearly.

What About Cost per Cubic Metre or per Tonne?

It can be calculated when an accepted, measured actual production quantity is available. We tie the unit-cost calculation to the quantity source your company has approved. We start with what is documented: cost by site, equipment and period. We add unit cost once the measurement source is approved by the company.

What Stays with the Specialised Teams

Geological models, ore grading and permits stay in their specialised tools. If you need weighbridge data or a site system connected, we define the interface, the data and a reconciliation test. Odoo handles the purchasing, inventory, maintenance and cost cycle that we agree on.

If you want to understand the connection between departments in practice, try Odoo interactively. It is a guided simulation with hypothetical data for a sales and inventory flow. It helps purchasing and finance see how a cycle moves between departments, and it is not a simulation of a mining system.

Start with a Simple Scope

We can begin with a defined cycle: one machine, one maintenance case, a spare-parts receipt and an analytic account for the site. Once the team sees that a figure can be traced from the invoice to the machine and the site, the scope widens to the remaining equipment and sites with confidence.

For project budgeting, the ToDoOps calculators are an optional tool for estimating implementation cost and potential savings.

Frequently Asked Questions

Can the costs of each site be tracked separately? Yes, through analytic accounting once the accounts and allocation rules are agreed. We define with you what is recorded directly and what is allocated.

Does Odoo link maintenance to spare parts? The cycle can be designed so that a maintenance request is linked to the equipment, and parts issues are linked to inventory and the site. We test this on a real case from your operation before expanding.
