Which machine has missed its maintenance date, and who will follow it up today? If the answer takes several calls, start with a clear schedule and a record for each machine. Odoo helps bring together the request, date, responsible person and equipment history so maintenance, production and purchasing can coordinate. ToDoOps helps configure and test that workflow. See our approach on the homepage.

What does Odoo equipment maintenance manage?

This guide covers your company’s internal equipment: machines, pumps, generators, tools and work centers. It differs from maintaining the Odoo software itself or managing technicians visiting customer sites. Establishing that distinction helps you select the right application and scope.

Odoo 19.0 documentation describes equipment records with a maintenance team and technician, location or work center, model, serial number, date put into use and warranty information (Odoo reference). That gives the question “which pump?” a specific answer, particularly when several machines share the same model.

Begin with equipment important to operations and establish a clear name and identifier for each item. Make its manuals and instructions available to the people who need them, and assign responsibility for keeping the record current. The value is not in filling the largest number of fields: it is in everyone identifying the same machine and using its record when raising and reviewing a request.

Preventive or corrective maintenance: which request should you use?

A corrective request addresses an existing problem. A preventive request plans work intended to limit deterioration before a problem occurs. Odoo supports a request type, equipment or work center, team, responsible person, scheduled date, duration, priority, notes and instructions. A manufacturing order or work order can be linked when the issue relates to it (Odoo reference).

The owner can distinguish planned work from responses to failures. The technician gets a defined machine, description and date instead of a general message to “check the equipment.” Purchasing can discuss needed parts before the scheduled date when that coordination is part of the agreed workflow.

An illustrative example: during the weekly review, a planned job needs a spare part. The responsible person identifies it, checks availability with the warehouse or purchasing and coordinates a work window with production. Recording the maintenance request does not by itself create a purchase, issue a part or post a cost entry. Those connections are defined in the project scope and tested with the relevant teams.

How do you coordinate Odoo maintenance with production?

Selecting a work center in the request exposes Block Workcenter. When enabled, it prevents other work orders or maintenance being scheduled on that center during the specified period (Odoo reference). Set an appropriate date and duration, then test the reservation’s effect on production planning.

Not every job needs the center reserved. Work that can take place without conflicting with production differs from a task requiring coordinated downtime. The decision follows the work, company procedures and equipment instructions. Configure the system to reflect that operating decision; qualified personnel carry out the actual maintenance under their procedures.

Review Odoo applications and the industries we serve to understand how maintenance fits the wider operation. To see connected data in action, try the sales and inventory simulation using hypothetical data; your equipment workflow is reviewed separately.

What does research say about preventive maintenance?

The U.S. Department of Energy DOE/FEMP Operations & Maintenance Best Practices Guide, Release 3.0, published in 2010, defines preventive maintenance around time or machine-run schedules. It distinguishes this from reactive maintenance after failure and predictive maintenance based on equipment condition. Section 5.3 cites an estimated 12–18% maintenance-program cost saving for a preventive programme compared with a reactive one (Department of Energy reference).

That is a historical maintenance-program comparison, not an Odoo effect or a Saudi average. It helps frame the measurement question: what do you spend on reactive repairs, and what could an appropriate preventive programme address? Start with your own records and costs before setting a financial target, and compare changes on an equivalent basis.

An administrative system helps organise records, schedules and responsibility. Work quality, parts availability and technical decisions belong with the team. That is why configuration needs to fit the actual operating process.

Worked example: were maintenance tasks completed on time?

In a hypothetical week, 8 preventive tasks are due, 6 finish on schedule and 2 remain late:

Item Count Share of tasks due
Total tasks due 8 100%
Completed on time 6 75%
Late 2 25%

Schedule adherence is 6 ÷ 8 × 100 = 75%. It measures delivery against that week’s plan, not individual competence. Investigate the two late tasks: an unavailable part, a conflict with production or an unrealistic time allocation? The cause may differ between machines.

Track the measure weekly with the same definition. “Request closed” is not the same as “completed on time,” and removing an overdue task from the denominator would misrepresent the rate. For an initial impact and budget estimate, use the ToDoOps calculators; they are a general tool separate from this example.

Odoo maintenance indicators: how should you read MTBF and MTTR?

The setup documentation describes two indicators in days: Mean Time Between Failure, MTBF, calculated from completed corrective maintenance, and Mean Time To Repair, MTTR, updated when a request is completed. Estimated Next Failure adds MTBF to the latest failure date (Odoo reference).

Do not confuse these days with machine operating hours. A date estimated from history is different from sensor readings of equipment condition; it does not establish that failure will occur on that day. Consistent failure recording and completion data make comparisons more useful when deciding which equipment deserves closer review.

How do you begin with a manageable maintenance scope?

Start with a defined group of machines, a schedule based on their manuals and operating risks, and responsibility for each stage. Test the following with your team:

  1. A preventive request with clear equipment, date, owner and instructions.
  2. A corrective request linking the issue to the right equipment record.
  3. Work-center reservation when needed, and its effect on scheduling.
  4. Request creation, updates and closure using the actual role accounts.
  5. The effect of completion on history and indicators, with delay reasons recorded.

ToDoOps analyses the data and workflow, configures teams, requests and agreed connections, then provides testing and training within your project. Expand according to data readiness and the team’s ability to use the workflow, rather than simply importing a long machine list.

Questions about Odoo preventive maintenance

Is this application for internal equipment?

This guide uses Maintenance for company equipment and work centers. If your business sends technicians to customer sites, review field-service requirements and applications as a separate scope.

Does raising a request automatically order spare parts?

The request defines and tracks the work. Connections to parts, stock, purchasing and costs are established during project analysis and tested within the agreed scope.

Does every request stop a production center?

The reservation option applies to a work-center request when enabled for a defined period. Select and coordinate it according to the task and production plan.

Does MTBF mean the next failure is certain?

It is an indicator calculated from recorded failures in days. Use it for review and planning; it differs from sensor-based condition monitoring.

How can I measure better maintenance management?

Keep consistent definitions for tasks due and completed on time, and record delay reasons and actual costs. Compare suitable periods before drawing a financial conclusion.
